Your CRM Pipeline Is a Mirage: Why 'Quoted' Doesn't Mean Booked

Open your CRM right now. Look at the "Quoted" column. If you're like most moving companies, it's stuffed with $300K to $500K of "active" pipeline. Now ask the harder question: when was the last time anyone actually called the deals in that column?

That's the mirage. A quote isn't a sale. It isn't even a conversation. It's a snapshot of one moment when a customer said "send me a price", and then never heard from you again. Movers forecast off this number, hire off this number, and panic when revenue doesn't show up to match it.

The Real Funnel (Not the One in Your Dashboard)

A clean moving sales funnel has four real stages, not the seven your CRM lets you invent:

  • 1. Contacted: a human (or AI agent) actually spoke with them.
  • 2. Quoted: they received a written, dated price.
  • 3. Confirmed: they paid a deposit or signed an agreement.
  • 4. Moved: the job is on the truck.

Anything between Quoted and Confirmed isn't pipeline. It's hope. And hope doesn't pay payroll.

Why "Quoted" Lies

Three reasons "Quoted" is the most dangerous column in your CRM:

It feels like progress

A rep moves a deal to "Quoted" and feels productive. The deal sits there for 19 days. Nobody touches it. The CRM still shows it as active.

It inflates forecasts

$400K in "Quoted" with a 25% close rate forecasts $100K. Reality: most of those quotes never get a second touch and close at 8%. The real forecast is $32K.

It hides the leak

If "Quoted" looks healthy, nobody asks why bookings are flat. Owners blame the season, the market, the leads, anything but the follow-up gap. (Related: why your CRM is lying to you.)

It rewards activity, not outcomes

Reps get measured on quotes sent. The metric that actually matters, deposits collected, gets buried two columns to the right.

The Cleanup: Three Rules

  • Auto-archive any quote with no activity in 14 days. If it hasn't been touched in two weeks, it isn't pipeline. Move it to "Cold" so it stops inflating forecasts.
  • Require a "next step + date" on every Quoted deal. No next step? It moves to Cold automatically. This single rule cuts most pipelines in half, and that's the point.
  • Run a 7-touch follow-up sequence on every quote. Day 0 call, Day 1 text, Day 3 email, Day 5 call, Day 8 text, Day 12 email, Day 18 final call. AI handles 5 of the 7. (See how to wire this into your CRM.)

What Changes When the Mirage Lifts

The first month is uncomfortable. Your "active" pipeline shrinks 40-60%. The owner panics. Then something shifts: the deals that survive the cleanup actually close, because they're getting touched. Quote-to-book climbs from 8% to 28%. Forecasts start matching reality. Reps stop drowning in dead deals and start focusing on warm ones.

The pipeline number gets smaller. The revenue number gets bigger. That's the trade.

If it's not in CRM with a next step and a date, it doesn't exist. A pipeline you can't trust is worse than no pipeline at all.
