Moving Company Business Card Ideas: What to Hand Out at Trade Shows

The best thing a moving company can hand out at a trade show or networking event is a business card whose QR code opens a page made for that card. The page should do three things: let the person book an estimate in one tap, give them something worth keeping, and give them a reason to text you before the event is over. A card with only a phone number asks a stranger to call you cold, days later, which is the step most people skip. If you move households across state lines, print your U.S. DOT number on it too: federal rules count it as advertising.
We redesigned our own business cards this way in October 2026, for the industry events where we meet moving company owners face to face. Here is what we built and why, and how a mover can do the same at a home show, a realtor office meeting or a relocation fair.
Why do business cards from events so rarely turn into moving jobs?
A card handed over after a good conversation goes into a pocket, then a bag, then a drawer. To turn it into a job, the person has to remember the conversation, find the card and call someone they met once, during business hours. Every step takes effort, and nothing on the card gives a reason to do it this week rather than never.
Alex Hormozi's value equation, from his book $100M Offers (2021), explains why. People value an offer more when the result is bigger and more likely to happen, and less when it takes longer and asks more effort of them. A plain card does nothing for the first two and leaves the last two as high as they can be. Everything below is about reversing that: less effort, less waiting, and something they get right away.
What should a moving company put on its business card?
| On the card | Why it is there | Example |
|---|---|---|
| Your name and role | They met a person, not a logo | Maria Lopez, Sales Manager |
| A mobile number that takes texts | People who will not call a stranger will often text one | Call or text (555) 010-2030 |
| A QR code to a short link you control | You can change where it goes without reprinting | go.yourcompany.com/maria |
| One line saying what the scan gets them | A bare QR code gives no reason to scan it | Scan for a free moving checklist and an estimate |
| U.S. DOT No. (interstate movers) | Federal rule 49 CFR 375.207 requires it in advertising | U.S. DOT No. 1234567 |
| Your state licence number, where your state issues one | It backs up the word "licensed" | The number, not just the word |
The DOT line is the one most cards miss. Under 49 CFR 375.207, an interstate household goods mover must put its name and its U.S. DOT number in every advertisement, written in the form "U.S. DOT No." followed by the number. The same part of the rules, 375.103, defines an advertisement as any communication to the public in connection with an offer or sale of interstate household goods moving. A card you hand out to win moves fits that description. If you only move within one state, check your state's rules, which often ask for a state number instead.
Printing the number also earns trust. Of 76 United States mover websites we verified in August 2026, 52 said they were licensed, bonded or insured, and only 27 of those 52 showed an actual licence number. A card is a small place to close the same gap: print the number, not just the word.
Where should the QR code on a moving company card go?
Not your homepage. Your homepage was written for strangers arriving from Google, and someone who just spent ten minutes talking to you does not need the pitch again. Send them to a page made for the card, with these five things and little else:
- A headline that remembers the meeting. "Great to meet you" works. If you can change the page before each event, it can name the event.
- One way to book, on the page itself. An estimate calendar or a short quote form, not a link to another page.
- A "Save my contact" button. A contact file (a vCard, the format phones use for contacts) adds you to their phone in one tap, with your photo if you want it.
- Text and email buttons that open a message to you directly.
- One offer for people who are not ready, covered in the next section.
Ours has a headline, one sentence, the booking calendar, then save contact, text and email. In the first week we removed our own logo and photo from the top of the page, because the booking calendar already showed both.
Point the QR code at a short link you own, such as go.yourcompany.com/maria, that forwards to the page. When the page changes, the printed cards keep working, and you can count the scans. Set that forward up as a temporary redirect (a 302), not a permanent one (a 301): phones and browsers remember permanent redirects, so a card could keep opening the old page after you change it.
What should a mover offer people who are not ready to book?
Most people you meet at an event are not moving this month. Give them something useful in exchange for a text. They get the useful thing, and you get their number, which is the only way a polite "maybe later" becomes someone you can follow up with. What is worth a text depends on who you meet:
| Event | Who you meet | What to offer for a text |
|---|---|---|
| Home show or expo | Homeowners thinking about a move | A price range for their move, sent by text |
| Realtor office meeting or mixer | Real estate agents | A moving checklist with both your names on it, to hand to buyers and sellers |
| HR or relocation fair | HR and relocation managers | Your certificate of insurance and a one-page outline of how you run an employee move |
| Senior living fair | Adult children and community staff | A downsizing checklist and a timeline for a senior move |
| Chamber of commerce event | Local business owners | An office move timeline that keeps downtime to a weekend |
Our own card offers a free missed-call report to anyone who texts their company name. It is useful whether or not they ever hire us, and the text starts a conversation.
Then answer fast. Someone who texts you from the event floor is a new lead, and leads cool quickly. The SmartMoving 2026 State of Moving Report, based on 484 moving companies, found that only 38% of movers respond to a new lead within five minutes. If nobody can reply from the booth, set up an automatic text that confirms what they will get and when. Our speed-to-lead guide covers the rest.
How can a moving company tell if its event cards work?
- Give each person and each event its own link. Tags on the link (UTM tags, the labels analytics tools read) show which card and which event a visit came from.
- Do not count every scan as a person. Link previews in messaging apps and email security scanners open links too. Our own system sorts those out, along with our test scans, and the first day's numbers on our cards were all tests we then deleted.
- Watch three numbers: scans, texts and contact saves, and booked estimates. Booked estimates per event is the one that decides whether you go back next year.
- Scan the printed proof on an iPhone and an Android phone before you print 500 cards.
What should happen in the 48 hours after the event?
- Reply to every text the same day with whatever you promised.
- Send a short note to everyone whose card you collected, mentioning one detail from your conversation.
- Give before you ask. Deliver the checklist, the price range or the insurance certificate before you ask for an estimate appointment.
- Book one next step: an estimate for a homeowner, a coffee with a realtor, a call with an HR manager.
- Log who you met by event, so the decision about next year's booth is made with numbers.
